6801 Invalid Fiscal Year - must be greater than 2001
Description
Since LeaveTraq was developed in Fiscal year 2002, fiscal years prior to 2002 are not supported by LeaveTraq.

6802 Invalid Leave Transaction Type xxxxxx
Description
The leave transaction type (e.g. Accrual, Usage, etc.) is not a valid type supported by LeaveTraq.

Description
Time periods in increments other than 0.05 hours are not valid in LeaveTraq.

6805 Leave dates must be within the Fiscal Year
Description
The beginning and ending date for the leave request must be within the beginning and ending dates of the fiscal year. The fiscal year runs from September 1st through August 31st. The fiscal year (e.g. 2003) is the calendar year the fiscal year ends (e.g. September 1, 2002 through August 31, 2003).

Action
Either change the dates of the leave to be within a fiscal year, or change the year.

If the leave crosses two fiscal years (e.g. August 25 thru Sept 5), that leave must be entered as two transactions or as two leave request documents.

6806 Leave Transaction cannot be more than 1 year into the future
Description
The Leave Transaction or document contains a date that is more than one year in the future (from today's date).

Action
LeaveTraq only supports leave requests up to one year in advance.

Verify that the dates are correct (perhaps a typo was made). Wait until within one year from the time of the leave to submit the document.

6807 Only Transaction type "USAGE" can have a future effective date
Description
The transaction type using a leave type of Accrual, Earned, etc. has a future date.

Action
Use a current or past date for all leave transactions other than usage.

6808 Invalid number of hours - cannot exceed xxxx.xx hours
Description
In order to prevent typing errors, LeaveTraq will not accept more hours than a system defined limit.  If the limit is for a specific time period such as a month, the portion of the requested leave in that period totaled with any previously requested leave of that type occurring during that period may not exceed the limit for that period and type.

Action
Verify the number of hours. Perhaps they were typed incorrectly. If the hour amount is correct, split the transaction into two or more separate transactions.

6809 Leave hours cannot be negative (or zero). Use the reverse sign flag
Description
The hours you entered are either negative or zero.

Action
If your intent is to post a negative or opposite sign entry (e.g. backout an accrual that should not have been posted), prepare the transaction as a normal entry then select the reverse entry flag to change the sign of the action.

Zero hour transactions are not permitted. There is no need to record a zero beginning balance - the beginning balances are zero by default.

6810 Invalid Reverse Sign Flag - Must be R or Blank
Description
The reverse sign flag is not R and not Blank.

Description
Due to end of year balance transfers, a single leave document cannot contain dates from two fiscal years.

If necessary, create two documents (two leave requests) - one document for the leave in August and one document for the leave in September.

6831 Leave Usage must be in 1/4 (.25) hours increments
Description
Time periods of less than 15 minutes are not valid in LeaveTraq.

Description
The system prevents two different types of leave from being used at the same time.

Often this error occurs when a document has been rejected and the employee is creating a new document.

Alternatively, the rejected document can be re-opened for editing, corrected and then submitted again for processing.

Description
When you enter leave documents or transactions for previous months, LeaveTraq performs a retroactive balance calculation. This balance checks insures that the leave hours were available as of the date of the requested leave. It also verifies that this leave request would not cause a deficit balance for any day in the past following the leave request.

Action
The leave history page provides a running balance of your leave for the entire fiscal year. Use it to verify the balance the error message is reporting. Contact your leave administrator to discuss any corrections to your records. You may also need to use another type of leave for this absence.

6838 Leave Transaction type xxxxxx must have same begin and end times
Description
The begin and end date/times for this transaction do not match

Description

This often occurs if two people work on the same document at the same time. It can occur if you use the browser "Back" button, and try to approve the same document twice. It can also occur if you click a button twice. It can occur if the employee reopens a document after he/she submit it and before you approve it.

Action
Use the "view actions" button on the document update/review tab. This will display the history of all actions on the document. It will usually reveal one of the above situations occurred.

6867 No Approval PINs found
Description
There are no approval managers on record for this employee.

Description
The employee has not completed six months of service and is therefore not eligible for this leave.

The ADLOC on the document being updated is not currently valid in the BPP-Tables database.

6870 Hours are less than the minimum hours (999) for the date/time range entered
Description
LeaveTraq computes the number of hours between the beginning and ending times of your leave request item and determines the minimum number of hours that can be submitted.

LeaveTraq makes this calculation based on a normal 8-5 work day with a 1 hour allowance for lunch.

Common questions:

What if I take only 1/2 hour for lunch?

LeaveTraq requires only a minimum number of hours for a given time period. You do not need to deduct any time for a lunch period. For an 8-5 day, you can enter 8 1/2 or even 9 hours. If you only work 7 1/2 hours a day with a 1/2 hour lunch, enter begining and ending times that correspond (8:00am - 4:00pm)

LeaveTraq computes the minimum hours based on the begin and end times. If, for example, your work from 7:00am to 7:00pm, and are taking off for a single day, LeaveTraq will compute the minimum hours for this time period to be 11 hours.

What if I work less than 8 hours a day?

Enter the begin and end times of your normal schedule. If the time begins before noon and ends after noon and is for at least 4 hours, LeaveTraq will adjust for the part time schedule.

What if I work more than 8 hours a day?

LeaveTraq computes the minimum hours based on the begin and end times. If, for example, you work from 7:00am to 7:00pm, and are taking off for a single day, LeaveTraq will compute the minimum hours for this time period to be 11 hours. If the time spans multiple days, just compute the correct hours yourself and enter the correct number. For multiple days of leave you will always meet the minimum number of hours.

Description
The time period selected overlaps that of another document.

Description

Description
The PIN you have chosen to add is not active in the leave system.

Verify and correct the PIN or contact a central administrator to have the PIN activated.

6878 Maximum number of managers reached.
Description
LeaveTraq currently limits the number of managers (of all types) to 10. You are trying to add more than the current limit

Action
Review the list of managers. Determine if all the existing managers are needed. If you still need additional managers, contact your agencies central leave administrator to request that the system allow additional managers.

6879 Value did not change - No update performed
Description
The record was not updated since you did not make a change.

Action
Make the required changes before submitting the record.

6880 Update failed. Manager has pending document approvals
Description
You may not remove a manager from an employee if that manager still has documents to approve for that employee.

Action
You have two options:

If the manager still has access to LeaveTraq, have them approve or reject the existing documents.

As administrator, go in and reject all documents pending approval for that manager back to the employees. Once you have the new manager established, have the employees resubmit the leave documents.

*Tip* - if you want to see what documents the manager has in his/her inbox, set yourself up as a delegate for that manager. When you go to the inbox on the manager tab, you will be able to the documents waiting for his or her approval.

6881 Employee must have manager role in order to add substitutes
Description
You do not have a manager role capable of adding this substitute.

Action

6882 Invalid Sick Pool Operating Mode, correct on BPP screen 402
Description

If you are an administrator entering a transaction, simply enter multiple transactions to cover the period.

Description

Description
The vacation balance has been frozen by a Central Administrator. Accrual, Usage and Lapsing of vacation are not permitted while the balance is frozen and the effective date has been met.

Action
Verify that the transaction is necessary. Have a Central Administrator temporarily uncheck the Freeze Vacation Balance checkbox and blank out the Freeze effective date on the employee status screen. Then, process the transaction. Afterwards have the Central Administrator recheck the box and restore the Freeze effectve date. (Warning, automatic accruals and lapsing will restart as conditions warrant if the freeze is not put back into effect. Restoring the original freeze date is important in that it may be used to determine the pay rate for a future Lump Sum payout.)

6957 Vacation balance frozen, no vac (transaction type) ending after (effective date of freeze)
Description
